Executive Committee Meeting Minutes

 

A regular meeting of the Executive Committee was held on Tuesday, July 2, 2025. The meeting was called to order at 7:05 p.m. by Craig Seymour.

Present: Dickie Garnett, Reggie Hall, Mary Ellen Morse, Jeff Ristau, Julie Veale, Laura Schwartz, Ali Maglieri, Katie Johnson, Erik Browning and Alanna Schreck

 

Secretary’s Report

A motion was made to approve the June Executive Committee meeting minutes. The motion was seconded and carried. The minutes will be posted on the website.

Manager’s Update

  • Jeff provided a report on Club operations.
  • Jeff updated the EC about an issue regarding the behavior of guests’ children. The EC agreed that Club rules should be followed for both members and guests. Should the issue arise again, Craig will send a formal letter to the member about their guests’ behavior.

 

Treasurer’s Report

  • Reggie provided an update on the Club’s financials.
  • Our current operating account balance is $411,516 and $307,833 in Reserve.
  • Club officers will need to sign resolutions for Eastern Bank and Bangor Bank. Jodi will also need to sign for Bangor Bank.
  • The EC discussed the credit card processing fees and looking at alternatives in the off season to reduce credit card fees.
  • Reggie is working to transition treasury duties to Dickie.

House

  • Gordon is targeting to finish carpentry work this week.
  • Painting will begin the week after.
  • The big beam in the main dining room will be wrapped in a smooth pine and painted.
  • A decision was made not to attempt to repair the floor beneath the parking lot windows near the knee wall as it would likely be a much bigger project if we opened the floors up at this stage of the project.

Social

  • Alanna provided an update on the social events.
  • 3rd of July was a great success with approximately 340 members attending.
  • Family Night will be held on the 19th.
  • The merchandise is in and selling well. Members are very happy with their orders.
  • The 100th celebration is fully sold out and we now have a short waitlist.
  • Alanna continues to work on the details as the event nears. Marshall Rental has the final numbers for all rentals. Tiffany and Alanna will be meeting with White Apron on the 10th to confirm numbers, rental items, food, and the floor plan.

 

Long Range Planning

 

  • Dickie stated the focus for the off season will be creating a Capital Improvement Plan/Matrix so we can better plan for work to be done. The matrix will categorize work to be done as regular maintenance or capital improvement.

 

Membership

  • The current membership count is 654.

Swim

  • The first swim meet will be held on July 15th.
  • Katie is ordering towels and trophies for the banquet.
  • Brad Seymour will be coordinating timing for the swim meets and will circulate a Sign-Up genius.

 

Other Business

  • The EC discussed the need to create a technology committee to address deficiencies in the website and other systems at the Club.

A motion was made to conclude the meeting at 8:30 pm. The motion was seconded and carried.

The Executive Committee will meet on August 12, 2025 at the Beach Club.
