The purpose of the annual meeting of the membership is to elect persons to serve on the Board of Directors and to transact such other business as may properly come before the membership

 

 

The Board of Directors shall hold its annual meeting at the same place as and immediately following the annual meeting of the membership for the purpose of the election of officers and the transaction of such business as may come before the meeting.

  1. Introduction-Bill Hickey, President opened the meeting at 11:00am

 

  1. In Memoriam

A moment of silence was held for our members who had passed:

Phyllis Carey, Kevin Connell, Kate Clifford, Ann Bride, Lindsay Josephs, and Joan Fuller.

 

  1. Approval of Minutes-Annual Minutes of the 2016 were presented by Bill Hickey.  They were unanimously accepted and will be posted on the website.

 

  1. The Linda Buell and Charlie Adams Awards– Lily Smyth, the recipient of the Linda Buell Award and David Boies, the recipient of the Charlie Adams Award for 2016 were recognized.

 

  1. The Evelyn Drake Scholarship Award– Tim Bottomley announced the two recipients of the Evelyn Drake Music Scholarship Program: Faith Timmins from the Rye Elementary and Catherine Downs from Rye Junior High Schools.

 

  1. Financial Report-Rob MacLeod, Treasurer

The Financial Report was presented by Rob MacLeod, Treasurer and Bill Hickey, President.  It was accepted by the membership. Highlights are included in the 2016 Annual Meeting Handout with additional information provided in a PowerPoint presentation to the membership. The report was divided into three parts:  

  • Review of 2016 fiscal year
  • Long Range Planning
  • Graphs to Discuss

The majority of the report focused on the result of Long Range Planning Committee and the resulting separation of capital and operating funds in the Beach Club’s accounting. Bill Hickey thanked all the members of the LRPC for their time and effort.

 

  1. Membership Report-Gail Sudduth, Membership Chair

The Membership Report was presented and accepted. Highlights were included in Annual Meeting Handout.  Several adjustments were made-

Gail Sudduth also provided a history of Admitted Members made from both the priority and regular waitlist since 2012.  Questions about membership and rules were addressed and a request was made to form a Membership Committee.

The Social Report was presented and accepted. Highlights are included in the Annual Meeting Handout.

 

  1. Swim Report– Sara Casassa, Swim Chair

The Swim Report was presented by Sara Casassa.  Highlights are included in the Annual Meeting Handout. A request was made by the membership to consider extending pool hours once a week for children to accommodate families using the club in the evening.

 

  1. Facility Report-Jon Mackin, Facility Chair

The Facility Report was presented by Jon Mackin.  Highlights are included in the Annual Meeting Handout.

Bill Hickey opened the meeting up to questions and discussion from the general membership. Vice President Garry Layman recognized Bill Hickey for serving as President and Maryanne Daly and Rachel Brandt for their service to on the Beach Club Executive Committee.

Annual Meeting of the Beach Club Directors was opened at 12:00 pm

 

Gary Holmes presented the nominations for the Executive Committee, which were accepted unanimously.

Swim Report

 

The 2017 season had another successful swim program led by Aquatics Director Nicole Ciancarelli. Last summer, we continued to offer Water Aerobics, Early Bird Swim, Badge Programs, Swim Lessons, and Swim Team. Our Swim Team won the SAL Division I Championship for the sixth season in a row.

 

We are pleased to welcome Sue McNamara as Head Swim Coach for our 2018 season. Nicole has taken on a new full-time position outside of the Beach Club, but she has generously agreed to handle much of the back-office work. Sue is currently co-Head Coach of the Portsmouth High School Team and the Portsmouth Swim Team. The pool staff includes many familiar faces. We are happy to have Jack Quinn, Shane Harvey, Abby Montgomery, Charles Blake, Kimmy Hazeltine, Luke Bradley, Molly Flagg, and Emma Whall back on the deck in 2017. A warm welcome to our newest guard, Oliver Blake.

 

With the new aquatics staffing structure, we anticipate the following roles and responsibilities:

  • Sue will primarily be responsible for swim team practices and swim meets.
  • Nicole will handle office work such as scheduling, signups for swim team and lessons, supply ordering and other such tasks

 

Last season, we piloted a Swim Team option for our youngest swimmers, called the Junior Swim Team. This was well received and we will continue this option into the 2018 season. The Junior Swim Team membership is available to swimmers who would like to be part of the swim team but still need more focused swim instruction. Junior Team practices take will take place after regular swim team, during swim lessons on Tuesdays and Thursdays.

 

This season, we are adding a Senior Swim Team for those members who are rising juniors or seniors in school. Many of these members have summer jobs or other responsibilities and are unable to attend daily practice but would still like to be part of the team. Senior Team members are welcome to attend swim practice when their schedule allows, but not required to be there.  

 

This year, we are holding a mandatory parent meeting for all swim team participants on Monday, July 2nd at 6:00PM to provide an opportunity to meet Sue and learn more about her plans for the season. We will also be holding a Q&A session to discuss any questions the membership may have about swim team.

  1. TO CONTINUE TO PROMOTE AND MAINTAIN A SAFE, WELCOMING AND ENJOYABLE ENVIRONMENT FOR OUR MEMBERS, CHILDREN, GUESTS AND OUR EMPLOYEES.

 

  1. TO TEACH, PROMOTE AND ENCOURAGE RESPONSIBLE STEWARDSHIP OF OUR CLUB AND ITS FACILITIES TO ALL OF OUR YOUNGER MEMBERS.

 

  1. TO MAINTAIN FINANCIAL TRANSPARENCY AND PRUDENTLY MANAGE EXPENSES AND INCOME FOR THE LONG TERM GOOD OF THE CLUB.

 

  1. TO ADDRESS  POLICY AND REGULATIONS THAT MAY BETTER REFLECT THE NEEDS AND EXPECTATIONS OF THE MAJORITY OF THE MEMBERSHIP.

 

  1. TO ENCOURAGE GREATER PARTICIPATION IN ALL CLUB ACTIVITIES, ie. SWIM TEAM, WATER AEROBICS, PARTIES, ETC
